Missed-Call Text Back: What It Is, How It Works, and Templates to Use
Missed-call text back is one of the simplest tools a local business can add, and one of the fastest to pay off. If you can't answer the phone, the caller automatically gets a text from your business number within seconds.
Instead of a lost lead, you have a conversation.
How it works
- A customer calls your business number.
- You're busy, and the call isn't answered.
- Within seconds, the caller gets a text from that same local number.
- They reply by text, and you (or an AI assistant) take it from there.
That's it. No app for the customer to download, no voicemail to check.
Why it works so well
- People ignore voicemail but read texts. Most people check a text quickly, even if they wouldn't leave a message.
- It keeps them from calling the next business. Getting an instant reply tells the customer you're real and responsive.
- It works when you can't. On a job site, with a client, after hours, or when three calls come in at once.
We covered the cost of missed calls in this post. Text back is the first fix.
Templates you can copy
Keep the first message short, friendly and easy to answer.
General service business:
"Hi, this is [Business]. Sorry we missed your call! How can we help today?"
Home services (HVAC, plumbing, electrical, roofing):
"Hi, it's [Business]. We're on a job and missed your call. What's going on, and what's the address? We'll get you scheduled."
Salon or med spa:
"Hi! This is [Business]. We're with a client right now. Are you looking to book an appointment? Tell us the service and the day you prefer."
Dental or chiropractic office:
"Thanks for calling [Practice]! Sorry we missed you. Are you a new or existing patient, and how can we help?"
After hours:
"Thanks for calling [Business]. We're closed right now, but we can still get you on the schedule. What do you need help with?"
Make the text back actually book
A text back starts the conversation, but someone still has to finish it. That's where many businesses get stuck: the customer replies, and nobody responds for hours.
The fix is pairing text back with an assistant that can reply instantly, ask the right questions, and book the appointment on your calendar. Read about speed to lead to see why the next few minutes matter so much.
A few setup tips
- Use a local number your customers recognize, ideally the same one on your Google Business Profile.
- Register your business texting number with your provider (U.S. carriers require business texting registration, often called A2P 10DLC). Unregistered texts can be filtered or blocked.
- Include your business name so customers know who's texting.
- Honor opt-outs. If someone replies STOP, they should stop getting texts.
- Keep emergency instructions clear for urgent situations, like a gas smell or a medical emergency, where customers should call the appropriate emergency line.
How ELSA Marketing helps
ELSA Marketing sets up missed-call text back plus an AI receptionist that answers replies, calls and chats in about 60 seconds and books appointments onto your calendar, 24/7. Texts come from a local number, and setup takes about 5-7 business days.
