
A 7-Day Lead Follow-Up Sequence for Local Businesses (Text and Email Templates)
Here's a pattern almost every local business owner has seen: a lead fills out a form, you send one message, they don't reply, and that's the end of it.
But "no reply" rarely means "no." People get busy, forget, or plan to answer later. A short, polite follow-up sequence brings many of them back.
The rules of good follow-up
- Be fast on the first touch. Reply within minutes. See why speed to lead matters.

- Stop when they respond. Once they reply or book, the sequence should end automatically.

The 7-day sequence
Day 0 (within 1-5 minutes): Text
"Hi [Name], it's [Your Name] with [Business]. Got your request for [service]. A couple quick questions so we can help: what's the address, and when works best for you?"
Day 0 (same day): Email
Subject: Your [service] request
"Thanks for reaching out to [Business]. Here's what to expect: [1-2 sentences on how your visit or service works]. Reply to this email or text us at [number] to pick a time. We have openings [day] and [day]."
Day 1: Text
"Hi [Name], just checking in. Want me to hold a spot for you on [day] at [time]?"
Day 3: Text with a helpful answer
Address the most common question or worry for your business:
"Quick note: a lot of customers ask about [price range / financing / how long it takes / insurance]. [Short honest answer]. Happy to answer anything else."
Day 5: Email with proof
Share a short customer story, a few recent reviews, or before-and-after photos (with permission), plus a link to book.
Day 7: Final text
"Hi [Name], I don't want to keep bugging you. Should I close out your request, or would you still like help with [service]?"
That last message is surprisingly effective. It's honest, and it gives people an easy way to answer.
What if they still don't respond?
Move them to a long-term list. A check-in every month or two, or at the start of a busy season, keeps you in mind for when they're ready. Many "dead" leads come back months later.
